How Sponsari collects, uses, and protects personal data across our website, the product, and the people we research on our customers' behalf.

01Who we are and how this policy works
Sponsari (sponsari.ai) is an AI platform that helps rights holders — sports teams, festivals, leagues, venues, and events — identify and evaluate potential sponsors and prepare outreach. This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and the choices and rights you have. It applies to our website, the product, and the emails we send.
Sponsari is a business-to-business product, and most people use it through an organization. For the data that identifies you as a user, Sponsari is the data controller and this policy governs. For the content and data your organization submits to or generates in the product, Sponsari acts as a processor on your organization's behalf, and your organization's own privacy notice governs that data.
This policy does not cover third-party websites or services we link to, which have their own privacy practices.
02The information we collect
Information you provide
- Account and identity — your name, email address, password, and account settings.
- Organization and team — your organization's name and the colleagues you invite.
- Content you provide — the business information, documents, and preferences you upload or enter to use the service.
- Communications — the contents of messages you send us, such as support and demo requests.
Information we collect automatically
- Technical and usage data — such as your IP address, device and browser information, and activity logs, which we use to operate and secure the service.
We keep this to a minimum: Sponsari does not use advertising trackers or third-party analytics.
Information from third parties
- Sign-in providers — if you sign in through a third-party identity provider, we receive basic profile details such as your name and email.
- Connected accounts — if you connect a third-party account to export or share content, we receive access limited to that purpose.
- Business research data — limited information about the companies and business contacts we research for you, described in the next section.
03Information about people we research for you
To help our customers find and evaluate potential sponsors, Sponsari researches companies and identifies relevant business contacts. As a result, we process a limited amount of personal data about individuals who are not our users — typically professional details about a business contact at a company a customer is evaluating.
What we process. Professional information only, such as name, job title, employer, and business contact details, together with publicly reported business context.
Where it comes from. Licensed business-data providers and publicly available sources. We do not scrape websites.
Why. Solely to help our customers assess business fit and prepare outreach — the legitimate interest of Sponsari and its customers in business-to-business relationship development. We do not use this data for advertising, and Sponsari does not contact anyone automatically.
If you have been the subject of this research, you can ask us to access, correct, or delete your information, or object to its processing, by emailing privacy@sponsari.ai.
04How we use information
We use personal data to:
- Provide, operate, and maintain the service and its features.
- Authenticate you and keep accounts secure.
- Send service communications, such as verification, security, and account notices.
- Provide support and respond to your requests.
- Improve the service. We do not train or fine-tune AI models on your data.
- Comply with legal obligations, enforce our Terms, and prevent abuse.
05AI and your data
Sponsari uses AI to generate research, suggestions, and drafts.
- No model training. We do not train or fine-tune AI models on your data. Your content is used only to produce the output you requested.
- Human in the loop. AI output is decision-support. A person reviews it, and nothing is sent automatically.
- Accuracy. AI output can be incomplete or inaccurate, so you should verify anything important before relying on it.
We use reputable third-party providers to deliver these features; they process your content only to provide the service to us.
07Cookies
We use a strictly necessary cookie to keep you signed in. It is essential to the service rather than optional, and without it you cannot log in.
We do not use advertising cookies, cross-site trackers, or third-party analytics.
08How long we keep information
We keep personal data only for as long as we need it for the purposes described in this policy. In general:
- Account and organization data is kept while your account is active and deleted or anonymized after closure.
- Content you provide is kept until you or your organization delete it, or your account is closed.
- Technical and security logs are kept for a limited period.
We may retain information longer where required to meet legal obligations or resolve disputes.
09International data transfers
Production data is hosted in the European Union. Some of our service providers may process data in other countries. Where data is transferred outside your region, we rely on appropriate safeguards — such as the European Commission's Standard Contractual Clauses — to protect it.
10How we protect information
We use industry-standard measures to protect personal data, including encryption in transit and at rest, access controls, and authentication safeguards such as optional two-factor authentication. Access to data is limited, and each organization's data is kept separate.
No method of transmission or storage is perfectly secure, so while we work hard to protect your data we cannot guarantee absolute security.
11Your privacy rights
Depending on where you live, you may have rights over your personal data — including, under the EU and UK GDPR, the rights to access, correct, delete, restrict, and port your data, to object to certain processing, and to withdraw consent.
To exercise any of these, email privacy@sponsari.ai. We will verify your request and respond within the timeframe the law requires. If we hold your data on behalf of a customer organization, we will route your request to that organization.
You may also complain to your local data protection authority. We do not sell or "share" personal information for targeted advertising as those terms are defined under US state privacy laws.
12Children's privacy
Sponsari is a business product that is not directed to children, and we do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.
13Changes to this policy
We may update this policy from time to time. When we do, we will revise the "last updated" date above and, for material changes, provide a more prominent notice. Your continued use of Sponsari after an update means you accept the revised policy.
